1. Business use
These Cleaner Terms apply to businesses/self-employed cleaners that register, are listed, receive enquiries, use Business Manager, Rounds, Website Tools, Messaging or Customer Portal features, buy SmartTags, take customer payments through supported integrations, use Supplier/Partner or Sponsored features, or buy subscriptions from Exterior Quote. You confirm you act for purposes connected with your trade or business and are authorised for the account.
2. Independent business
Exterior Quote is a software/marketplace provider, not your employer and not the cleaning contractor. You decide whether to accept work and remain responsible for your quotations, customer contracts, service delivery, consumer-law duties, tax, insurance, licences, health and safety and staff/subcontractors.
3. No guarantee of work or ranking
Registration, subscription, postcode coverage, a named check or enabling a service does not guarantee enquiries, jobs, turnover, revenue or ranking. Paid products must not override hard job suitability. Sponsored placement must be clearly labelled and does not buy a customer-marketplace ranking advantage.
4. Accurate information and checks
Keep your identity, contact details, services, coverage, restrictions, pricing, availability and any evidence supplied for a named check accurate and current. Do not describe a specific Exterior Quote check as a wider accreditation or guarantee.
4A. Legal seller identity, duplicate prevention and reporting-ready records
Exterior Quote requires real business accounts to complete the legal seller information appropriate to their business type before normal marketplace access, including legal name, primary/main address, date of birth for individual sellers, Companies House/company or charity references where applicable, VAT registration status/number where applicable, and tax identifiers such as a National Insurance number, partnership/trust UTR or foreign tax identification number where applicable to that seller type. This information is used to protect accounts, identify duplicate legal sellers, operate named verification checks and maintain reporting-ready records. High-risk tax identifiers are held in a protected compliance store rather than ordinary public profile fields and are not published.
Where the same legal seller operates more than one branch or trading name, Exterior Quote may require those profiles to sit under one legal seller account rather than creating separate legal seller accounts. You must not use alternative emails, trading names or branches to evade duplicate-account controls.
Exterior Quote may maintain a calendar-year record of amounts actually received by or credited to your business where those amounts are recorded through the platform. Estimates, unpaid quotations and unconfirmed job values are kept separate from paid/credited records. Where digital-platform reporting law applies, Exterior Quote may use the verified seller and transaction information required for that reporting and provide you with the corresponding seller information. While the operator is not required to submit, the platform may operate a clearly labelled reporting-ready/shadow record and must not describe it as submitted to HMRC.
5. Your pricing and customer contract
You control your own prices and commercial terms. Before a consumer becomes bound, you are responsible for providing the information required for your service contract, including your identity/contact details, service description, total price including unavoidable charges, payment terms and applicable cancellation information. Exterior Quote estimates do not replace your final quote.
6. Marketplace customer information — independent controller use
When Exterior Quote passes an enquiry to you, you normally receive that information as an independent business for your own customer-service/contract purposes. Use it only where you have a lawful basis. Receiving an enquiry does not give automatic permission for unrelated marketing, sale/disclosure of the data, or unrelated profiling.
7. Business Manager/Rounds imported customer information — processor service
Where you independently collect or import your own customers into Business Manager, Rounds or related hosted tools and Exterior Quote processes that information only to provide those tools on your instructions, you are the controller and Exterior Quote acts as your processor. The Cleaner Data Processing Addendum forms part of these Cleaner Terms for that processing. You must have authority/lawful basis to upload the information and must give customers your own required privacy information.
8. Security, access information and incidents
Protect account credentials and customer information. Access instructions, gate/key notes, precise location data and offline Rounds copies must only be stored where genuinely needed and on trusted devices. Restrict staff/subcontractor access appropriately and tell Exterior Quote promptly about a suspected incident involving platform-hosted customer information.
9. Marketing
Service messages needed to manage a job are separate from marketing. If you record a marketing permission in Exterior Quote, you remain responsible for ensuring the underlying consent or other permitted basis actually exists, retaining suitable evidence, honouring objections/withdrawals and complying with PECR/UK GDPR.
10. Customer payments
Where enabled, supported providers such as Stripe Connect or GoCardless process customer funds/payment credentials. You are the merchant/service provider responsible for the cleaning charge, refunds and customer contract. Exterior Quote may store provider account/transaction/mandate identifiers, amount/status and operational events. You must complete required provider onboarding and must not use the feature to circumvent provider rules. Live customer-payment mode may remain technically blocked until platform compliance gates are completed.
11. Reviews
You must not submit, commission, buy, fabricate, suppress or manipulate reviews. Do not offer an undisclosed incentive in exchange for a favourable review. You may report a review for a genuine policy/legal concern; disagreement or a negative rating alone is not grounds for removal.
12. Paid subscriptions and add-ons
Exterior Quote can offer separate marketplace, Calculator and Rounds subscriptions/add-ons. The standalone Calculator current standard display is £27.99 per month including one service calculator, with each additional enabled calculator currently £1.50 per month. Rounds currently displays at £12.99 per month for the owner account plus one included Office Admin, with additional Field Staff currently £5.00 per month each. Marketplace plan and add-on pricing is shown in the applicable purchase flow. The actual product, price, frequency, quantity and renewal information shown immediately before checkout controls the purchase. Paid add-ons require explicit confirmation and entitlement should change only after the payment provider confirms the change.
13. Renewal, cancellation and payment failure
Paid subscriptions renew automatically on the billing cycle shown until cancelled. Cancellation can take effect at the displayed paid-period end. Failed payment may lead to a grace state and then suspension/removal of paid access. Exterior Quote does not store full card numbers.
14. VAT and price changes
Exterior Quote is not currently VAT registered and does not add VAT to the stated Exterior Quote subscription prices.
Material recurring-price changes for existing subscriptions should be notified in advance with the effective date and cancellation route.
15. SmartTag business purchases
SmartTags/holders are supplied as business purchases. The checkout must show the pack price and delivery information before payment. Exterior Quote remains responsible for supplying goods it sells, including dealing with incorrect, damaged or defective goods in accordance with applicable law and the stated business returns process. Permanent NFC/QR URLs may record privacy-minimised tag opens/actions and attribute later Exterior Quote enquiries or recorded outcomes to the originating tag. Delivery addresses are used for fulfilment and later minimised under the retention policy.
16. Account closure and data export
Before closing an account, export records you are legally required to retain. Platform operational/customer data becomes eligible for deletion or anonymisation under the configured closure schedule, subject to legal holds and records Exterior Quote must retain for its own legal/accounting purposes.
17. Suspension/termination
Exterior Quote may restrict or suspend an account where reasonably necessary for non-payment, security, material breach, misleading information/check claims, review manipulation, unlawful conduct or material platform risk. Where appropriate, we may request information and give a reasonable opportunity to respond.
18. Liability
Nothing excludes liability where exclusion would be unlawful. Subject to that, each party remains responsible for matters within its control and the cleaner remains responsible for the cleaning service/customer contract. Any limitation relied upon must be fair and reasonable under applicable law.
19. Governing law
These business terms are intended to be governed by the law applicable to the Exterior Quote operator stated on this site. Mandatory rights and jurisdiction rules that cannot lawfully be excluded continue to apply.
